Job Opening:

Parish Administrative Assistant – St. Brigid Catholic Church, Hanford, CA

 

The Position:

Under the general supervision of the Parish Pastor/Administrator, the Administrative Assistant performs a variety of administrative support job duties and responsibilities; and performs related work as required by the Pastor/Administrator.

 

Sample of Duties and Responsibilities:

The information listed below is meant to serve as samples of job duties and responsibilities for this position. This list is neither inclusive nor exclusive, but indicative of several typical duties performed on a regular and consistent basis.

  • Handles all daily business and administrative support duties and responsibilities for the parish office and ministries.
  • Maintains the parish master calendar and updates the Pastor/Administrator accordingly; schedules appointments, conferences, meetings, and special events.
  • Updates the Pastor/Administrator regarding pending work assignments, projects, work-related matters, deadlines, etc.
  • Assigns, reviews, and coordinates the work of all parish employees and volunteers; reviews all employee timesheets and prepares them for the Pastor’s/Administrator’s review and signature.
  • Prepares all employment related payroll/HR forms and documents for new employees; orientates and in-processes new employees as required.
  • Processes bank deposits of cash, checks, and money orders.
  • Ensures all employees report to work as required, take their meal breaks and rest periods as required, and the quantity and quality of employees’ work product.
  • Assists the Pastor/Administrator prepare and manage the annual parish budget.
  • Attends work-related meetings, workshops, conferences, retreats, etc., as required by the Pastor/Administrator; represents the parish and Pastor/Administrator as required.
  • Ensures weekly Mass collection counters follow internal control procedures/protocols for the collection, accounting, and processing of weekly and periodic financial donations.
  • Composes, proofreads, and edits correspondence, letters, reports, flyers, and related materials; ensures such materials are grammatically correct and consistent with the Pastor’s/Administrator’s requirements.
  • Maintains all confidential HR, payroll, and financial records, documents, files, etc.
  • Orders and inventories parish supplies, materials, and equipment.
  • Ensures all business office equipment, computers, printers, and telephone system are maintained and serviced by vendors as required.
  • Operates a variety of office equipment including desktop and laptop computers, printers, copying machines, multi-line telephones, fax machine, etc.; operates Microsoft Office Suite programs including Word, Excel, Access, PowerPoint, Outlook, etc.
  • Other duties and responsibilities as determined by the Pastor/Administrator.

Minimum Requirements to Be Considered for this Position:

Education: Graduation from an accredited college or technical/vocational school with the equivalent of an associate degree or certificate of achievement in business office management or human resources.

Experience: Two (2) years of full-time, paid work experience performing administrative support work, including the supervision or coordination of a small to medium size business office and support staff.

Substitution: Two (2) additional years of qualifying work experience may be substituted for the above listed education. (Note: If an applicant does not have the above listed education, they would need to have worked a minimum of four (4) years performing administrative support work including the supervision or coordination of a small to medium size business office to be considered for this position.)

Language: Bilingual proficiency in Spanish and English.

License: Possession of a valid California Class “C” Driver License.

Other: Applicants must be a practicing Catholic in good standing who are living within the teachings of the Catholic Church.
